Privacy Policy
How we collect, use and look after your personal information when you enquire about hiring the hall or use this website.
Last updated: 14 October 2026
In short: we only collect what we need to deal with your enquiry or booking. We don't sell your information, we don't send marketing, and we don't use advertising or tracking cookies.
Who we are
This website is run by Brockenhurst Masonic Centre Limited, a company registered in England and Wales (company number 06050912). We own and manage Brockenhurst Masonic Centre at 9 Grigg Lane, Brockenhurst, Hampshire SO42 7PG.
Our registered office is 36 St Thomas Street, Lymington, Hampshire SO41 9NE.
For hall hire enquiries and bookings, we are the "data controller" under UK data protection law. That means we decide how your information is used and are responsible for looking after it.
The lodges that meet here
The lodges that meet at the centre are separate organisations. If you request a place at a lodge event, sign in to a members' area, or ask about becoming a Freemason, the lodge concerned is responsible for that information. We only see what we need in order to run the building.
What we collect
When you enquire about hiring the hall
- Your name, email address and phone number
- The date and sessions you'd like, the type of event and the number of guests
- Anything else you tell us, such as catering, bar or access requirements
When you book and pay
- The agreed price, deposit and balance, and a record of each payment
- Our emails and messages with you about the booking
Card payments are taken by Stripe. We never see or store your full card details.
When you use the website
- Basic technical information, such as your IP address and browser type, which our hosting provider logs to keep the site secure and working
- Signals used to tell people apart from spam robots when you send a form
We don't use analytics or advertising tools, and we don't build profiles of visitors.

Who we share it with
We use a small number of trusted providers to run this website and our booking system. They act only on our instructions and must keep your information secure:
- TylerHQ (a service of Pure Pleasure Ltd, Hythe, Hampshire) provides our website, booking calendar and booking records.
- Supabase stores the booking data, in the EU (Ireland).
- Vercel hosts the website and booking system.
- Stripe processes card payments.
- Resend sends booking emails.
- Cloudflare protects our forms from spam and abuse.
If you request a place at a lodge event, your request goes to that lodge. We may also share information where the law requires it, for example with the police or HMRC.
Transfers outside the UK
Some of these providers are based in, or use services in, the United States. Where information leaves the UK, it's protected by recognised safeguards, such as the UK's International Data Transfer Addendum or the UK–US data bridge.
How long we keep it
- Enquiries that don't turn into a booking: up to 12 months, in case you come back to us.
- Bookings and payment records: six years after the end of the financial year they relate to, as required for tax and accounting.
- Regular hirers: for as long as the arrangement continues, then as above.
After that, we delete the information or make it anonymous.
Keeping it safe
Your information is held in a secure, access-controlled system and is encrypted in transit and at rest. Only people who need it to manage bookings can see it.
Your rights
Under UK data protection law, you have the right to:
- ask for a copy of the information we hold about you
- ask us to correct anything that's wrong or incomplete
- ask us to delete your information, where we no longer need it
- ask us to limit how we use it, or object to our using it
- ask for your information in a portable format
There's no charge, and we'll reply within one month. We may need to confirm who you are first.
If you're unhappy with how we've handled your information, please tell us first so we can put it right. You can also complain to the Information Commissioner's Office at ico.org.uk or on 0303 123 1113.

Hall bookings must be made by an adult aged 18 or over. We don't knowingly collect information from children through this website.
